IT Project Coordination Specialist supports the Digital Transformation Department in project administration, report consolidation, progress tracking, project information management, and system testing coordination. This role ensures that tasks, documents, meeting schedules, reports, risks/issues, and project statuses are updated accurately and on time, contributing to project transparency and management effectiveness.
Administration and Department Coordination:
- Prepare, review, and submit documents, proposals, approval forms, and announcements as assigned by the direct manager.
- Review, update, and manage the IT Project Coordination Specialist meeting schedule; prepare meeting content and follow up on action items when required.
- Receive, monitor, and coordinate approval documents from related departments, ensuring proper workflow and timely completion.
- Draft announcements, emails, meeting minutes, and internal communication materials for the department.
Report Consolidation and Standardization:
- Consolidate periodic reports for the Digital Transformation Department on a weekly, monthly, quarterly, or ad-hoc basis.
- Collect data from project members, standardize report formats, and validate completeness, logic, and consistency of information.
- Prepare dashboards, tracking sheets, project status reports, risk/issue logs, and management updates.
Project Progress Tracking:
- Track project timelines, milestones, deliverables, and status within the Digital Transformation Department’s scope.
- Update project progress, record issues, identify schedule risks, and proactively alert the manager or project owner.
- Follow up on meeting action items, remind relevant stakeholders, and update completion status.
System Testing Support:
- Participate in system testing based on assigned test scenarios, focusing on functional accuracy, data accuracy, and process flows.
- Log defects with clear descriptions, sufficient evidence, and updated statuses in the tracking tool.
- Follow up on defect resolution progress and coordinate with BA, Developers, business users, and partners to confirm fixes and support retesting when required
